Introduction
At WalkThis.Land (“we”, “us”, “our”), we’re excited to share our passion for the outdoors with you! Our experienced and qualified leaders offer a range of inspiring activities, including mountain adventures, professional development courses, and workshops.
All our leaders have current REC 16-hour Outdoor First Aid certifications, plus qualifications tailored to your chosen event (eg Mountain Leader). For your peace of mind, we conduct DBS checks on all staff, thoroughly assessed all our activities for safety, and maintain Public Liability and Professional Indemnity insurance.
Your Responsibilities
To help ensure everyone has a smooth and enjoyable experience, we ask you to:
- Arrive at the agreed meeting point at the scheduled start time for your event. If you know you’ll be delayed, please contact us as soon as possible, and we’ll do our best to accommodate the situation. We’ll give you the phone number of the event leader at least 24 hours before the event is due to start.
- Bring and wear the appropriate clothing and equipment as outlined in the Kit List we provide. For your safety and the safety of the group, we may have to refuse participation if you arrive for your event without the appropriate clothing/equipment. In such a case, you will not be entitled to a refund.
- Take out Personal Accident and Cancellation insurance. This is crucial.
Accessibility
Many of our events take place outdoors, often involving walking on uneven ground or up or down steep slopes, which may be unsuitable if you have mobility issues. While we will always do our best to adjust activities to provide easier access for people with limited mobility and disabilities, due to the nature of what we offer and the environments in which we operate, we cannot guarantee this is possible in every situation. Please contact us before booking if you would like to discuss accessibility.
Terms & Conditions
When you book with us, you agree to the following terms and conditions. In these
Terms & Conditions:
- “We,” “us,” and “our” refer to WalkThis.Land.
- “You” and “your” refer to the person/company/charity/organization/group making the booking and responsible for payment, including anyone to whom a booking is transferred.
- “Booking” or “event” means any service, supply, event, or course we offer, along with its itinerary and activities. We may refer to these as “day-long event” or “multiday event” in our marketing materials.
- “Flexible upgrade” refers to the optional extra that can be purchased at the time of making a booking to provide greater flexibility if you need to amend or cancel a booking.
- “In writing” refers to email correspondence sent to or from info@WalkThis.Land.
- “Day event” means a booking that takes place within one 24-hour period.
- “Multi-day event” means a booking that takes place over a period greater than 24 hours, such as bookings including an overnight stay(s) or a series of consecutive day events.
- “Participant” refers to any person taking part in a WalkThis.Land event. Participants under 18 years of age are only permitted to attend day-long events and must be accompanied by a parent or guardian who is at least 18 years of age. The parent or guardian must actively supervise the minor throughout the event and accepts full responsibility for their behaviour and safety. By booking on behalf of a minor, you confirm that you are their parent or legal guardian and agree to these terms and conditions on their behalf.
- We do not limit our liability in cases of death or personal injury caused by our negligence, or in any other circumstances where the law does not allow it.
These Terms & Conditions apply from 1st January 2025. Only our Directors have the authority to omit or amend any of these terms.
Making a Booking
A booking, and therefore a binding contract, is made with us when:
- You pay us a Deposit or Full Amount for an available booking, and we confirm this booking to you in writing; or
- You complete an online booking form, or accept a quote or pro forma invoice sent to you in writing for a booking.
- You also accept any booking-specific Additional Terms & Conditions, provided in writing by us, by making a booking to which those terms relate.
If you wish to make or join a booking for a group of people:
- The lead person on the booking should complete the normal booking process. You can add other participants to your booking. If you are an additional participant in a group booking, you agree that your share of the booking cost and all payment obligations are between you and the lead person. Unless we expressly agree otherwise with you and the lead booker, we will only process payments and refunds from/to the lead booker. If you are the lead booker, you’ll need to provide medical details for all participants to us at the time of booking. Please read the Disabilities, Medical Requirements, and Additional Needs/Assistance section for more detail.
Costs, Deposits, and Payments
Costs (i.e., the full amount payable) will be outlined on our website for online bookings, or via a Booking Form or event outline that we will send to you if you request a bespoke booking.
Unless stated otherwise in booking description, participants are responsible for the following costs: personal equipment, tips/gratuities, entrance/admission fees, parking fees, food and drink, personal spending money, transport, accommodation, and activities. Participants are responsible for making advance reservations and/or selections for such inclusions where required.
The option to pay a deposit is usually available for bookings costing over £200 made 12 weeks or more before a booking’s start date and will secure your place(s). Once you pay the deposit, the remaining balance is due no later than 4 weeks before the booking start date. We’ll email you a reminder and payment link before the deadline. If you do not pay the balance by this deadline, we’ll assume that you wish to cancel your booking, and you will forfeit any monies you have paid to us, as per the Cancellation by You terms outlined below.
Cancellation by You
We aim to provide professional events that are fairly priced. Our cancellation policy helps us cover our costs and protect the ongoing viability of our events.
If you need to cancel your booking:
- If you notify us more than 4 weeks before your booking’s start date, you’ll receive a Credit Voucher or refund for the amount you’ve paid to us, minus a Cancellation Charge that is equal to 10% of the total Booking Cost.
- If you notify us less than 4 weeks prior to your booking’s start date, you’ll forfeit the amount that you have paid to us.
Credit Vouchers are valid for twelve (12) months.
Please email us at info@WalkThis.Land to cancel your booking.
Cancellation by Us
We plan our events many months in advance. On rare occasions, we have to make changes to details both before and after bookings have been confirmed, or we may need to cancel confirmed bookings. Due to the outdoor nature of our events, local weather, transport, or other uncontrollable factors can mean a change in itinerary. Although we always endeavour to avoid changes and cancellations, we must reserve the right to do so.
We reserve the right to cancel your event booking in line with our Snow and Extreme Weather Policy (outlined below). We also reserve the right to cancel your event booking if circumstances beyond our reasonable control prevent us from delivering the event. In such cases, or if a Major Change (as defined in “Alternatives and Amendments”) is necessary, and you do not wish to accept the change, you will receive a Credit Voucher for the amount that you have paid to us. You can request a full refund as an alternative.
Credit Vouchers are valid for twelve (12) months.
- Refunds are only applicable to payments made by card or BACS transfer. Bookings made using a Credit Voucher, Gift Voucher, or any other type of WalkThis.Land voucher as a full or part payment method are not eligible for a refund – a Credit Voucher will be offered in these instances.
Transferring your Booking
You can transfer your booking to another person up to 3 full working days before the scheduled start date and time of the event, subject to the following conditions:
- The request is received in writing via email before this deadline.
- There is no outstanding balance due on the booking.
- We will make reasonable efforts to accommodate changes to dietary requirements or pre-selected activities, options, or menus, but cannot guarantee that these will be possible.
A booking transfer is only possible if you transfer your booking to someone else in exchange for a payment that does not exceed the original amount paid to us. Any person to whom a booking is transferred accepts these Terms & Conditions.
The person to whom the booking is transferred must send us an email with all of the following no less than 2 working days (48 hours) before the event start time:
- Details of any medical conditions, phobias, or allergies
- Name and mobile phone number of their emergency contact person
If we do not receive this information, we will not be able to accept the booking transfer. Instead, this will be treated as a Cancellation by You.
Snow and Extreme Weather Policy
If poor weather conditions may be unsafe or dangerous, we reserve the right to change, postpone, or cancel the event. If snow or extreme weather is forecast, we will try to proceed with the booking as long as it is safe to do so, although we may make changes to the itinerary (as described in the Alternatives and Amendments clause below) to suit the weather and ground conditions. However, we reserve the right to cancel a booking due to snow or extreme weather (including but not limited to snow and ice, high or gale force winds, and major flooding.
Please note that we will not cancel events due to rain or winds up to 50 mph, so please come prepared accordingly.
The evaluation of what constitutes unsafe or dangerous conditions rests solely with WalkThis.Land.
Alternatives and Amendments
We may provide alternative itineraries (including accommodation and food), activities, and timings, which may be necessary due to the nature of and risks associated with your booking; to ensure the health and safety of participants and/or our staff; unavoidable delays; and unforeseen circumstances. The outline itineraries and activities provided are a guide to what participants can expect, but not a contractual obligation on our part.
Wherever possible, we will communicate major changes at the earliest possible opportunity. A “major change” includes a change to the booking start/finish date(s) by more than 48 hours, a change of destination or location, or a change to accommodation to a significantly lower standard. If major changes are necessary, you can choose to accept the changes; obtain a credit voucher to use toward another booking(s); or cancel your booking, in which case the Cancellation by Us clause applies.
If we need to make a minor alteration to your itinerary before departure, we will try to contact you before the event begins, but we are not obliged to do so or to pay you compensation.
We are not liable to offer the above-mentioned options if we are forced to make a change or cancel as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care.
No compensation will be payable and the above options will not be available if we cancel as a result of your failure to comply with any requirement of our Terms and Conditions entitling us to cancel (e.g., not paying on time) or if the change made is a minor one.
Travel Arrangements and Timings
Our responsibility for an event begins at the designated meeting point and time specified in your event itinerary. To ensure a smooth start for everyone, please arrive on time. Unfortunately, we can’t offer refunds or compensation for any expenses you incur if you miss the start of the event due to late arrival. Unless we’ve specifically agreed to arrange your travel, you’ll need to make your own way to the meeting point.
Appropriate Fitness & Equipment
To ensure you have a safe and enjoyable experience, it’s important that you bring and wear the right clothing and equipment. Please check the event description on our website and your booking confirmation email for details. If our staff leading the event believe that your fitness or equipment could compromise safety, we may have to cancel your participation. In these situations, you won’t be eligible for a refund, so please do check the requirements carefully.
If you have any questions about fitness levels, terrain, or required / recommended gear, please don’t hesitate to contact us info@WalkThis.Land.
Acknowledgement of Risk
During booking, we ask all named participants to accept our Terms & Conditions and our Acknowledgement of Risk Statement, as follows:
Hillwalking, scrambling, and outdoor pursuits involve inherent risks. At WalkThis.Land, we aim to nurture a spirit of adventure, and eliminating risk or uncertain outcomes, even if possible, would defeat the purpose of the activity.
The actual level of risk associated with our activities is low. However, you will encounter certain types of risk that are outside of your ordinary experience. These include:
- Physical effort: Our activities may involve a greater level of exertion than in your usual day-to-day environment. Participants should be prepared for this and ensure they have an appropriate level of fitness.
- Rough, steep, and uneven terrain: The activities take place in outdoor environments, which may involve walking on uneven terrain, steep slopes, and varied conditions.
- Slips and trips: The chance of slips, trips, and falls is higher than what you usually experience.
- Height and exposure: While we take appropriate safety precautions, some people can find situations at height or on exposed ridges stressful.
- Natural environment: This includes the possibility of rapid and significant changes in the weather, or unstable/slippery conditions underfoot, and can also include rock falls, lightning, strong winds and high river levels.
- Loss or damage: The environments and activities may increase the potential for loss of or damage to your personal clothing or equipment.
Our goal is to facilitate your adventure while giving you the skills you need to avoid hazards and to understand and minimize the risks to yourself and your fellow participants. While we can manage the risk together, we cannot completely remove it.
Mountainous environments can be especially hazardous when it is very windy, extremely wet, visibility is poor, or lightning is forecast. If we deem conditions above a certain elevation to be hazardous, we will alter the planned route.
The British Mountaineering Council (BMC), which represents walkers, climbers, and mountaineers in the UK, offers this participation statement, which we also ask you to agree to: “The BMC recognises that climbing, hill walking and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions and involvement.”
Liability and Insurance
Our events do not include any personal accident, cancellation, or personal injury insurance. We recommend that you take out your own insurance policies.
Our Public Liability insurance covers injuries to participants caused by our negligence. We strongly recommend that you obtain your own personal travel insurance to cover cancellation, medical emergencies, personal injury, and loss or damage to your belongings.
We recommend that all participants have adequate insurance to cover the duration of any booking, including the itinerary and activities undertaken, as well as personal travel and baggage transfers to/from the meeting or departure point. We recommend participants’ insurance should, at a minimum, cover cancellation and curtailment, medical and emergency expenses (including repatriation), personal accident, injury, and death. In the event of an emergency medical rescue and/or repatriation, you will be responsible for the associated costs.
Participants are liable for any loss or damage to property or equipment provided as part of the booking, resulting from vandalism or negligence.
We will not be liable for any loss incurred due to events or circumstances beyond our control (force majeure). These include, but are not limited to: warfare and acts of terrorism (and threat thereof); civil strife; significant risks to human health; natural disasters such as floods, earthquakes, or weather conditions which make it impossible to travel safely to the booking’s destination or remain at the destination; the act of any government or other national or local authority; industrial dispute; epidemic or pandemic (including but not limited to the effects of the COVID-19 pandemic or any other pandemic); labour strikes; natural or nuclear disaster; fire; chemical or biological disaster; and adverse or extreme sea, river, or weather conditions.
Disabilities, Medical Requirements, and Additional Needs/Assistance
Our bookings are open to participants of all backgrounds, and we will do our best to advise on suitability based on individual abilities and requirements. If a participant has any disability, medical requirements, additional needs, or assistance requirements (including accompaniment by an assistance animal) that may have health or safety implications, or increase the risk associated with booking activities, you must provide us with these details before we confirm your booking. We will handle this information confidentially – please see our Privacy Policy. Where a participant’s involvement needs specific medical, social, or cultural assistance, we may request that they travel with a suitable companion.
If we feel we cannot properly accommodate the particular requirements of the participant concerned, we will not confirm your booking or, if details were not provided before confirmation of your booking, we reserve the right to cancel your booking, and the charges detailed in the relevant Cancellation by You clause will apply. We cannot be held responsible for any implications or costs arising from non-disclosure.
Behaviour
To ensure a safe, enjoyable, and respectful experience for all, we ask that all participants adhere to the following guidelines:

- Maintaining reasonable noise levels, particularly during quiet hours or in shared
accommodation. - Being mindful of others’ personal space and comfort.
- Supporting a positive and inclusive atmosphere for all.
Smoking
Many of our participants are non-smokers, and we strive to ensure their comfort. Therefore, we ask that smokers:
- Refrain from smoking in close proximity to other group members.
- Do not smoke in any enclosed public spaces (e.g., lecture rooms) or confined
spaces (e.g., vehicles, group gatherings). - Dispose of cigarette ends responsibly, ensuring they are fully extinguished and
placed in appropriate waste receptacles.
Pets
To ensure the safety and comfort of all participants, and to minimize potential disturbance to wildlife, we regret that we cannot accommodate dogs or other pets at our events.
Consequences of Inappropriate Behaviour
In the rare event that a participant’s behaviour significantly disrupts the safety, enjoyment, or well-being of others, or causes damage to property or the environment, WalkThis.Land staff reserve the right to take appropriate action.
This may include, but is not limited to, a verbal warning, temporary removal from an activity, or, in severe cases, removal from the event. Participants asked to leave an event will not be entitled to any refunds, and will be responsible for their own onward travel arrangements.
By booking an event with us, you agree to abide by these guidelines and accept that our staff and leaders have the authority to address any behaviour that contravenes them.
Privacy Policy
To process your booking and provide you with a smooth experience, we may need to share your information with relevant third-party suppliers (e.g., activity leaders, accommodation, transport, or catering providers) that we work with to deliver your event. This information may include your name, contact details, emergency contact information, assistance needs, medical conditions, injuries, and dietary requirements. We will only share information necessary to fulfil your booking.
For complete details on how we handle your data, please see our Privacy Policy.
Accuracy of Information & Pricing
We strive to ensure the accuracy of information and prices on our website and in our printed and digital marketing materials; however, the information and prices shown may have changed by the time you make your booking, or an error may have occurred. We reserve the right to correct information and prices in such circumstances. Therefore, please ensure you check all details with us when you make a booking and advise us immediately if any booking confirmation or relevant information you receive from us appears to be incorrect or incomplete.
Any discount or refund offered will only be valid if offered in writing and is subject to approval by the Directors.
Booking descriptions and prices on our website supersede details published in any printed or digital marketing materials.
Any information provided by us on matters of climate, weather conditions, clothing, baggage, and equipment choice is given in good faith but without responsibility for accuracy on our part.
Media Consent
We sometimes take photos and videos during our events, and you might appear in them. We may use these in our promotional materials, like on our website, social media, or in brochures. This helps us share what we do and promote our events.
By participating in our events, you agree that we can use these photos and videos, which may include your image or voice, unless you notify us otherwise at the time of booking. If you notify us at the time of booking that you do not consent to the use of photos or videos, then we will not use any photos or videos in which you are identifiable. We own all rights to these materials.
If you have any concerns about this, please let us know before the event, and we’ll do our best to accommodate you.
Accommodation
The availability or provision of accommodation included in a booking is subject to the ‘house rules’ of the accommodation or site. Accommodation is usually provided in twin or double rooms, or multi-occupancy dormitories. Where possible, we will try to accommodate participants’ preferences for room type and single-sex dormitories.
Complaints
We do our very best to ensure that your booking goes according to plan and that we meet all participants’ expectations. However, if a participant has a complaint, please let us know immediately. If a problem arises before a booking start date, please contact us by telephone or in writing (via info@WalkThis.Land). If a problem arises during your event, please advise a staff member, so that an on-the-spot investigation can be made if necessary, and the problem resolved if possible.
If a participant feels that their complaint has not been resolved by following this procedure, they should advise us in writing within 28 days, providing all relevant information. We will give such correspondence prompt attention and reply within 28 days.
We cannot accept any responsibility for a complaint raised after the related booking has ended, as we would have been deprived of the opportunity to investigate the matter and hopefully resolve any problem.
Law and Jurisdiction
You agree that your contract with us, and any disputes or claims arising from it, are governed by and construed in accordance with the law of England and Wales. You also agree that the courts of England and Wales have exclusive jurisdiction to hear and settle any dispute or claim relating to your booking with us.
